01 · Overview

How to set up an event for Turkish customers and dealers

01

If the guests are Turkish, the program follows Turkish habits

Many Chinese companies bring their launch format from China to Turkey unchanged: back-to-back executive speeches, long slide decks, and the product only at the very end. Turkish dealers and customers, however, usually expect to see and try the product as soon as possible and to have enough time for conversation and a meal. Long speeches, especially those interpreted sentence by sentence, can easily cool the atmosphere in the room.

We usually recommend the following: keep speeches short and few, let a Turkish host run the program, move the product demo into the first half, and set aside time for conversation and Q&A. When choosing a date, avoid iftar time during Ramadan and religious holidays, and take weekends and school holidays in Turkey into account. Halal food and non-alcoholic options are usually a basic expectation for catering.

02

What does a Turkish business partner want to hear at a dealer meeting?

Turkish dealers usually want to know about a few concrete topics: pricing policy and profit margins in Turkish lira, payment and credit terms, stock and delivery times, after-sales service and spare parts supply, and the brand's promotional support in Turkey. If the meeting only talks about the company's size and history, dealers may feel they did not get the answers they came for.

We prepare the agenda with you, build these topics into the presentations and Q&A, and translate the speeches into natural Turkish. After the meeting, we can compile dealers' questions and feedback into a Chinese report for you and headquarters; this becomes a basis for your future channel policy.

03

How to choose local suppliers and a Turkish host

In Turkey, venue, stage setup, sound and lighting, catering, photo and video, and booth construction are usually handled by local suppliers. We compare several suppliers based on your budget and compile their quotes and scope of service in a side-by-side table in Chinese, so you can clearly see which items are included and which are extra. Before signing, confirm payment terms, cancellation clauses and invoicing arrangements.

On the hosting side, a Turkish host runs the program, keeps the energy in the room and engages with guests; if Chinese executives are speaking, we arrange consecutive or simultaneous interpreting. The host and interpreter receive the program and speeches in advance and rehearse with the speakers. When planning, it helps to keep in mind that an event run in a single language flows better than one alternating between two languages.

04

At booths and roadshows, the real work starts after the event

When you open a booth at a trade fair in Turkey or run a roadshow across several cities, Turkish visitors usually want to pick up a Turkish brochure on the spot, know who their local contact is and get a quick response after the event. We support you in preparing Turkish panels, catalogs and business cards, arrange Turkish-speaking reception staff, and record visitor details and inquiries on a shared form. Collecting personal data generally requires compliance with KVKK (the Turkish Personal Data Protection Law); consult a lawyer for details.

When the event is over, we translate the visitor list and inquiries into Chinese, sort them by priority, and help send Turkish thank-you emails and follow-up materials. What we ask you to prepare in advance: the purpose of the event, target number of attendees, budget range, preferred cities and dates, list of speakers and products to be exhibited.

06 · FAQ

Frequently asked questions

How far in advance should we prepare for an event?

It depends on the size of the event and the city. Popular venues and suppliers during trade fair seasons usually require early booking. We recommend contacting us as soon as you have the first idea; we will propose a workable timeline based on the date.

Should the host speak Chinese or Turkish?

If the guests are Turkish, having a Turkish host run the program usually gives the best result. We provide interpreting when Chinese executives speak. If there are also many Chinese guests in the room, simultaneous interpreting equipment can be considered so guests of both languages can follow.

What should we watch for when choosing a date?

Religious holidays such as Ramadan Feast and Eid al-Adha should be avoided, and iftar time should be considered during Ramadan. National holidays and school holidays can also affect attendance. We make recommendations based on your plan.

What should we pay particular attention to in catering?

Halal food and non-alcoholic drinks are usually a basic expectation, and a vegetarian option should also be available. Whether to serve alcoholic drinks depends on the event and the guests. We confirm the menu with the local caterer.

Do you help invite Turkish dealers and customers?

Yes. We write Turkish invitations and follow up on attendance by phone, email or WhatsApp. The guest list is usually provided by you. If commercial messages will be sent to new contacts, KVKK and İYS (the Message Management System) requirements usually need attention; consult a lawyer for details.

How are local suppliers paid?

Third-party fees are usually calculated separately; they can be paid directly to the supplier or handled by an agreed method. We present each supplier's quote, scope and payment terms side by side in Chinese. Confirm cancellation clauses and invoicing arrangements before signing.

What do you do after the event?

We translate the visitor list and inquiries into Chinese, rank them by priority, and help send Turkish thank-you and follow-up materials. We also deliver a Chinese report with photos and a feedback summary, making it easy to pass on to headquarters.
